Why you need to set expectations for when you'll reply
A customer sends a message and doesn't know if a reply will come in a minute or a day - that uncertainty alone can make them think about going to another shop.
1. State your expected reply time somewhere clear
A simple line like "we reply during business hours" puts the customer at ease and makes them willing to wait instead of giving up.
2. An automatic reply is a first step, not a replacement for a real one
An instant greeting (even automated) confirms the message arrived - the real reply then follows up on it.
3. Be upfront if a reply will be delayed
If you're traveling or outside business hours, say so clearly - customers understand an announced delay far better than total silence.
4. A chatbot closes the gap while you're away
Even while you're asleep or busy, a chatbot replies instantly to repeated questions and keeps the customer engaged until you get back to them.
A customer doesn't necessarily need an instant reply from a human - they just need to know what to expect. Simple clarity on this point makes a real difference in the buying decision.
