How to respond to a negative review online without losing more

A public negative review (on Google or Facebook, for example) is different from a private complaint - everyone who visits your page afterward will see how you responded.

1. Always reply - silence looks like you don't care

Even if the review feels unfair, reply calmly and professionally - a page with no replies at all suggests you ignore your customers.

2. Acknowledge the problem before you explain

Start with "we're sorry about your experience" before explaining what happened - the person reading wants to feel heard first.

3. Move the details to a private conversation

Offer to continue by WhatsApp or email to resolve it - not every detail needs to be worked out in public.

4. Don't reply angrily or argue publicly

An angry reply makes any new customer reading it feel you're not professional - even if you're right, a calm tone is what builds trust.

Negative reviews are hard to avoid completely, but a chatbot that answers customer questions instantly can prevent a lot of problems before they ever reach the review stage.
